Terms of Participation

EPIC Asia 2025 is a professional event created to foster meaningful conversations around internet infrastructure, interconnection, and data center development across Asia. The success of this event relies on the respectful and collaborative engagement of all participants, including hosts, attendees, sponsors, and members of the organizing committee.

We encourage open discussion on relevant industry topics and expect all participants to uphold high standards of professionalism, integrity, and mutual respect throughout the event, including any affiliated activities hosted by event sponsors.

All individuals involved with EPIC Asia 2025 — whether attending in person or participating digitally — are expected to adhere to the following guidelines, as set and periodically reviewed by the EPIC Asia Organizing Committee.

General Participation Policy

Each organization or ASN may register up to three participants for the event, unless otherwise approved by the organizing team.

The following actions are strictly prohibited during EPIC Asia 2025 activities (in-person or online):

  • Disruption of sessions, meetings, or social gatherings.

  • Sexual harassment, physical assault, or any form of inappropriate conduct.

  • Discriminatory or offensive behavior based on gender, gender identity or expression, sex, race, religion, nationality, sexual orientation, disability, age, socioeconomic status, or family status.

  • Disrespectful behavior toward fellow participants, speakers, or staff.

  • Unauthorized audio or video recording, or photography of any presentations or event materials, unless publicly approved in advance.

  • Participation by individuals who are not registered for the event.

  • Marketing or business solicitation without a valid sponsorship agreement, or outside designated sponsor spaces.

  • Violation of venue rules, including those related to smoking, restricted access areas, or alcohol consumption not provided by licensed venue staff.

EPIC Asia 2025 reserves the right to remove any individual from the event, without refund, who violates these terms. We thank you for helping us create a respectful, inclusive, and productive environment for all.

Privacy Policy

All personal information collected through the official website of EPIC Asia 2025 (hereinafter referred to as “EPIC Asia 2025”) is managed in accordance with applicable laws and regulations. EPIC Asia 2025 is committed to protecting the personal information and rights of all individuals and has established the following privacy policy in line with Article 30 of the Personal Data Protection Act of Indonesia (hereinafter referred to as the “Protection Act”).

Purpose of Personal Information Processing

EPIC Asia 2025 collects only the minimum necessary personal information required to identify attendees and facilitate participation. Information will not be used for any purpose other than those outlined below. If the purpose of use changes, EPIC Asia 2025 will take appropriate measures such as obtaining separate consent in accordance with Article 18 of the Protection Act.

  • Stage of Collection: Pre-Registration

  • Purpose: Attendee identification, tracking and management, and publication of the attendee list on the official event website.

  • Information Collected: Name, Company Name, ASN, Country/Economy, Contact Information (Email)

Attendees have the right to withhold consent to the collection and use of their personal information. However, please note that declining consent will prevent completion of the registration process and participation in EPIC Asia 2025.
